When Bret Gross sits down with a new client, he doesn’t start with spreadsheets or schedules. He starts with lunch.

While trust might begin over lunch, it’s earned over time. For Bret, that means showing up early with a plan, staying calm when things go sideways and always keeping the client informed, even before there’s a clear solution in place. 

“No project runs perfectly. There are always bumps,” he says. “The key is to communicate them right away, even if we don’t yet know the solution.” 

That transparency isn’t just a philosophy. It’s a strategy that keeps projects on track and relationships intact. 

“When you’re upfront about problems, and you come back with options, that’s when the client starts to see you as a true partner, not just a service provider.” 

Some of those conversations aren’t easy. But they’re necessary. 

“One thing I’ll always speak up about is when an owner’s indecision or changing direction is putting their project at risk,” Bret says. “It’s a tough conversation to have, but if you’re open and honest about it, they’ll step up – and the project will be better for it.” 

Communication That Builds Confidence

Clear, proactive communication is at the heart of how Copaken Brooks delivers value, especially on large, complex projects with many stakeholders involved. 

Some clients want to be hands-on. Others prefer to delegate. Either way, Bret starts each engagement by setting expectations and aligning on how the flow of information will work. 

“We ask upfront: how involved do you want to be?” he says. “Then we tailor our approach to keep you in the loop, without overwhelming you.” 

The team uses tools that track budgets, contracts and key milestones; reports that are continually updated and shared with clients so they can stay plugged in even if they’re not involved in the day-to-day. “Even if we don’t need their input, we keep them informed. Bret is quick to point out that communication isn’t about volume, it’s about clarity. “Sometimes, just knowing there’s a plan in place, that we’re tracking toward something, brings peace of mind to the client,” he says.

While cost savings are a key benefit, Bret sees value through a wider lens. It’s about reducing friction, protecting priorities and making sure clients feel supported from start to finish. 

“Our value is in our experience – managing budgets, coordinating vendors, making sure everything is done how the client wants it,” he says. “Cost savings are great, but the real value is delivering a successful, on-budget project that meets the vision.” 

And sometimes, value comes through in the most human ways. 

“Clients come into meetings stressed, not knowing how to move forward. When you can see the relief on their face – that moment when they realize we’ve figured it out and it’s going to be OK – that’s what it’s all about.” 

Bret also highlights the difference in intent between developer-led projects and Owner’s Rep work. “When we develop for ourselves, it’s often about the bottom line. But with Owner’s Rep clients, especially nonprofits, they’re trying to improve lives. It’s incredibly rewarding to use our expertise to help them do that.”
